Lost Property

People do occasionally either lose or misplace personal possessions, and the following guidelines will, we hope, enable you to recover your property if such an unfortunate event occurs.

We would ask that any loss is reported to us using the following guidelines before contacting either the Police or Insurance companies. Items may turn up some time after the event, and we would rather re-unite them with their owners and have you avoid having to inform the authorities that your reported lost/stolen item has been returned to you. This route is also much preferred by both the Police and Insurance companies as it avoids possible unnecessary duplication of paperwork.

Only if the paperwork below fails to re-unite you with your lost possessions within the timescale detailed should you report the items as lost or stolen to the Authorities and make any relevant insurance claim.

 

During the Festival

If you discover your loss during the time you are still at the festival, please make your way to the onsite security tent situated adjacent to the festival marquee.
You will be handed a form to fill in detailing the description of the item(s) lost, and this should be given back to the security personnel.

They will radio check with the control centre – where any items discovered or handed in will be kept – to ascertain if your item is there. To prevent any fraudulent taking of lost property, we will not be allowing the general public into the control room to view items, so the more accurate details you can provide about an item or better proof you have that something is yours means you will be re-united with your item quickly if it is in our possession.

The Control Centre will confirm whether an item fitting the description of the one you have lost is in their possession or not, and a member of the security personnel will bring the item to the security tent.

If the Control Centre is not completely satisfied that the item is yours because you cannot provide any definitive proof of ownership, or there is a lack of identifying marks, the item may be detained until the end of the festival to see if any other person has claimed the item as lost.

If no-one else comes forward as a claimant, the item will be handed to you at the end of the festival.

Please note that detained items will not be handed out any earlier than the end of the festival, even if the claimant does not intend to be in attendance for the whole event.
If the claimant is thus forced to leave the property behind, they should then submit a new claim by following the 'After the Festival' guidelines below.

If your property is not in the custody of the Control Centre, a notice of loss will be posted on the main notice board on site where you may add any personal details or reward for its' recovery.

After the Festival

Please only email once about your property as we will get back to you as soon as is possible.
Remember, the more info you give us, the more chance we have of finding your property (so if you have a picture of the item, it's worth attaching that too). Please make the subject of your email whatever the item is (ie, "jewellery", "camera", "handbag"). Please fill in a separate section for each item e.g. bag/camera/wallet you have lost if there is more than one. If you lost a bag containing several items please fill in the bag section and then list all other items underneath.

We do not envisage many instances of lost property, and would certainly aim to answer all enquiries within a 7 calendar day period. If you haven't been contacted by then, please be patient as both the website, and the Rugby Club during the close season are not continually manned.
If you have not heard after 14 days, please contact us again by forwarding your original email.

Returning your item

Once your item has been positively identified, we will contact you with both insured and non-insured return postage details, as these must be paid before return will be effected.
If you choose to have them returned without covering insurance, we will retain proof of posting, but the risk in the goods will be yours upon posting, and Sealy Spyatstock will accept no liability for any loss or damage in transit.

A copy proof of delivery will be emailed to you as a pdf attachment once the item has been posted. If your property is either lost or damaged in transit, and insured postage was paid for, this copy document will enable you to process a claim for the appropriate amount against the Post Office.

Please note that we are unable to store lost property indefinitely, and any items unclaimed by Sat 30th August 2014 will be auctioned for, or donated to charity
